Assistant Property Manager

Professional property management company seeks a full-time Assistant Property Manager to assist with the management of a number of residential properties located from the seacoast area of NH to Manchester and into northern Massachusetts. The ideal candidate will be bright, energetic and enjoy becoming involved in a variety of tasks in a team-based supportive atmosphere. The primary responsibility of this position is to assist the Property Manager in all aspects of management of the portfolio in a fast-paced work environment. The setting provides a chance to develop skills that could lead to becoming a Property Manager and overseeing your own portfolio of properties in the future.

The ideal candidate should possess strong communication skills-verbal and written; marketing skills; and a professional demeanor at all times. Attention to detail and ability to work independently on assignments is necessary. Must be proficient in MS Office, particularly Excel. General letter writing and assistance with mailings and other administrative functions will be required on an as needed basis. Candidate must be willing to work a flexible schedule including weekends when needed.

The ideal candidate should have a general understanding of accounting reports (income statement, balance sheet, etc.). Minimum of Associates Degree or applicable work experience.

Candidate must have their own transportation.

Property Manager

Under the supervision of the Condominium association Board of Trustees and Great North senior management, the property manager is involved in overseeing and coordinating all property management, maintenance, construction activities associated with the management of a community association.

Duties and Responsibilities:
  • Oversees with members of the association board, the management of the common facilities of the complex, to include the multiple-craft custodial and maintenance services provided by a range of outside contractors and vendors.
  • Oversees with members of the association board, activities of contractors, vendor personnel, and suppliers; Monitor contracts for compliance; monitor general expenditures of the association; perform quality control inspections to ensure adherence to contract specifications and industry standards.
  • Solicit bids for maintenance, landscaping, snow removal and construction projects, and participate in the selection of contractors, in concert with the association's Board of Trustees.
  • Meet with the Board of Trustees as needed and communicate with them daily.
  • Interacts with, the homeowners, and serve as liaison between the Board of Trustees, owners, contractors, municipality, etc.
  • Performs field inspections to ensure adherence to the Association documents by residents.
  • Procures insurance, and other services necessary to run the Association.
  • Maintains Association records and provides administrative support to the Board and Association.
  • Sets up Annual Meeting and provide owners with appropriate information.
  • Serves as a point of contact for the community.
  • Performs miscellaneous job-related duties as assigned.

Maintenance Technician

Under the supervision of the property manager and Great North senior management, the maintenance technician is involved in the general repairs and maintenance at each of the community associations under management.

Duties and Responsibilities:
  • Carpentry: Perform basic carpentry work in construction and repair of structures such as partitions, walls, doors, fences, window frames. Address minor roof repairs.
  • Glazier: Remove broken glass, putty or plastic; replace windows and door hardware; replace or arrange for replacement of glass for windows, doors, etc.
  • Electrical: Perform basic electrical installation and repair work for switches, outlets, plugs, etc. Identify unsafe conditions and report to property manager.
  • Plumbing: Identify and perform basic repairs of leaks or breaks if possible, otherwise report to plumbing company and property manager.
  • Painting: Prepare various surfaces for paint, enamel, lacquer, varnish or stain; repair walls as needed.
  • Emergency on call services: Promptly respond to any after hour call that is paged out by the answering service. Visit property if necessary and coordinate any third party contractor(s) as needed to stabilize the situation at hand. Report to property manager.

Staff Accountant

Under the supervision of the vice president of finance and Great North senior management, the staff accountant is responsible to maintain the daily accounting for a portfolio of properties, including accounts payable, accounts receivable, and recording general ledger activity.  

Duties and Responsibilities:

• Maintain Accounts Payable, recording of invoices, obtaining proper approval and distribution of payments to vendors on a weekly basis. Also responsible for yearly preparation of 1099’s/1096.
• Maintain Accounts Receivable, verify daily lockbox receipts, billing and follow up on delinquent accounts as well as work with attorneys on collection efforts.
• Reconciliation of bank statements on a monthly basis and review of monthly activity to prepare for senior level approval
• Perform variety of month-end closing procedures including preparation and posting of journal entries.
• Research A/R and A/P issues, as needed and assist in various effects of the interface
   between Accounting and the Accounting Software and interact with other departments as needed to resolve problems.
• Possible payroll processing for a small sized company (2-10 employees) using outside payroll company
• Ensure compliance with accounting policies and procedures across all company departments.
• Comply with any outside auditor requests
• Assist the Controller/Assistant Controller in other areas as needed.

Must be able to work independently and multitask within a team environment. Proficiency in Microsoft Excel preferred.
